How to Export Your Journal to PDF, Word or Markdown

A journal kept in an app is easy to write in and harder to hold in your hands. Exporting turns it into ordinary files you can read on a computer, edit, print or keep without the app. The format you choose decides what those files are good for.

This guide compares the common export formats, explains what to decide before you export, and covers the one thing people most often forget: an export is no longer protected the way the app protects your entries.

Why export a journal at all

  • To read it differently. A year of entries reads differently on a large screen or on paper.
  • To keep a copy that any computer can open. Apps change and phones get replaced, while a plain file stays readable.
  • To work with the text. Some people turn entries into letters, essays or a memoir.
  • To print it. A journal as a book is a very different object from a journal in an app.

Choosing a format

Markdown

Markdown is plain text with a few simple marks for headings, lists, bold and italic. It opens in any text editor on any system, and many writing apps read it directly. That makes it the best choice for a long-term archive and for moving entries into another app. It is not designed to look like a finished page.

Word

A Word document is for editing. Choose it if you plan to rework the text, cut entries into a longer piece, or lay out pages your own way before printing. Word files open in most office apps.

PDF

A PDF looks the same on every device and printer. It is meant for reading and printing, not for editing. Choose it when you want a copy that looks finished and stays that way.

A PDF book

A PDF book is a PDF laid out to be read as a book: a title page, a table of contents and a structure that makes sense in print. It is the closest thing to a printed journal without doing the layout yourself.

What to decide before you export

  • Range. The whole journal, one year, one month or a custom period. A year is often the right size for a book.
  • Earlier versions. If your app keeps versions of edited entries, decide whether you want only the final text or the edits as well. For reading, the final text is usually enough. For an archive, the versions can matter.
  • Who will see the file. This affects where you save it and how long you keep it.

An export is not encrypted

Inside a diary app with encryption, your entries are protected on the device. Once exported, they become an ordinary document. Anyone who can open the folder can open the file.

A few habits help:

  • Save the export where you intend to keep it, and delete stray copies from downloads and shared folders.
  • Remember that a synced folder copies the file to wherever it syncs.
  • If you print through a service, someone at the service may see the pages. For very personal entries, print at home or choose which months go into the book.

An export is not a backup

An export is made for reading. A backup is made for restoring the journal, with everything the app needs to bring it back. To protect the journal against a lost phone, you need a backup. See how to back up a private diary without the cloud.

Printing a journal as a book

If you plan to print, export one month first and print a few pages. Check the text size, the margins and how pages break. Local print shops and online print services can bind a PDF. Ask about page size and binding before you send the whole year.

In TAEONIA

TAEONIA exports the whole diary, a year, a month or your own range, picked on a calendar.

  • Export to Markdown and Word is free. Markdown keeps the earlier versions of entries as well; Word holds the current text of each entry.
  • PDF comes as the PDF book, part of TAEONIA Horizon. The PDF book has a title page and a table of contents, and each month starts on a new page.
  • Horizon can be tried free for 14 days. Nothing is charged when the trial ends, and nothing renews by itself.

Exported files are not encrypted. Outside the app, they are protected only by wherever you keep them.

The reverse direction works too. TAEONIA can import entries from other diaries and from .txt and .md files, so a Markdown archive stays a way back into the app.

Backups are a separate feature: an encrypted file with the whole diary, opened with a 25-character recovery code. Use an export to read or print your journal, and a backup to keep it.
